How do you write an effective community announcement?

A six-point checklist for management announcements that residents can understand and act on quickly.

A useful announcement is not a longer message; it is a clear next step delivered to the right people at the right time.

Start with one purpose

A message that mixes maintenance news, payment reminders, and a meeting call can lose its main point. Put the reason to read now in the heading and opening sentences.

Target the audience deliberately; community-wide information and unit-specific action do not need the same channel or level of detail.

  • What happened or will happen?
  • Who is affected?
  • What date, time, and place apply?
  • What should the reader do next?

Keep the language simple and respectful

Make dates and amounts visible, link long technical detail to supporting material, and never publish personal balance information in a general announcement.

Link the announcement to its decision or document so it remains searchable and understandable later.
